Offline payments are payments recorded in CharityStack even though the money was collected outside the normal online checkout flow.
Use offline payments for checks, cash, stock, DAFs, in-kind payments, manual event payments, or past activity when those records should appear in CharityStack reporting.
CharityStack can record offline payments for:
Use PayPal or Venmo as offline payment methods only when the payment happened outside CharityStack and you want to document it in CharityStack reporting. This is different from online PayPal or Venmo availability in checkout.
Offline payments may not behave like processor-settled online payments. They may not produce the same payout, refund, dispute, or processor status behavior.
Offline payments can be edited by admins with the right permissions. Delete Payment is available only for eligible offline records and is intended for offline records that were entered incorrectly. Online payments should be corrected with edits, refunds, or notes rather than being deleted.
When deleting multiple offline payments, the job may appear in Activity. Review the selected records carefully before confirming, because deleting an offline payment removes it from reporting.
Because the money was collected outside CharityStack, reconcile offline payments against the external source of truth, such as a check deposit, DAF confirmation, stock transfer record, or PayPal/Venmo activity outside CharityStack.
